Privacy notice
This page explains, in plain language, what personal information we collect, why we hold it, who we share it with, how long we keep it and what you can ask us to do with it. It covers swimmers and their families, coaches who join our training, and visitors to this website. We keep it deliberately short, because we do not collect much.
Last reviewed at the start of the current academic year. If we change anything material, we update this page and mention it in the next email to people on the register.
The short version
We collect only what we need to run lessons and training, we use it only for that, we do not sell it, and we delete it when there is no longer a reason to keep it. This website itself collects nothing at all.
Only what we need
A name, a way to contact you, health information you choose to share, and a record of payments. Nothing more, and nothing bought in from anywhere else.
Used only to teach
To place swimmers, take the register, invoice you and contact you when something changes. We do not use it for advertising and we do not profile anyone.

Who we are
Orlin Swim School teaches swimming at Meadowbrook Leisure Pool, Unit 3, Riverbend Commons. We are the people responsible for the personal information described here. If you have any question about your information, or want to make one of the requests below, write to the office at hello@orlinswim.example.com or call (555) 555-0142.
What we collect, and why
For swimmers and their families we collect only what running lessons requires:
- The swimmer's name and date of birth — to place them at the right level and take the register.
- A contact name, email address and telephone number — so we can reach a responsible adult and let you know if a lesson changes.
- Health information you choose to share — asthma, epilepsy, a recent operation, a hearing aid, an ear infection, and anything else that might affect a swimmer in the water.
- A record of payments — which invoices have been raised and settled. We do not store card numbers; card payments are taken at the office and handled by the payment terminal, not kept by us.
You do not have to give us health information, but telling us helps us keep a swimmer safe and comfortable, so we encourage it.
Coaches and training
For coaches from other clubs who join our online training, the streamed technique library or an assessor day, we hold a name, a work email address, the club or centre you teach at, the sessions you have booked, and where relevant the qualification you are working towards. We use it to give you access to sessions, to confirm bookings, and to pass an assessment result to the awarding body when you ask us to. We do not share it with other clubs.
Where a live session is recorded for the technique library, it features our own adult staff demonstrating strokes. Coaches joining a live session appear only as names in the attendee list; we do not publish or keep a recording of the coaches attending.
How long we keep it
Records are kept for as long as a swimmer is enrolled and for a limited period afterwards, so that we can deal with billing queries and make re-enrolment straightforward if you come back. After that they are deleted. Health information is removed when a swimmer leaves, unless it forms part of an incident record we are required to keep for longer. Payment records are held for the period our bookkeeping obligations require, then deleted.
We do not keep waiting-list details indefinitely: if a place is declined or a season passes without contact, we remove the entry.
Your rights
You can, at any time, ask us to:
- Show you a copy of the information we hold about you or your child.
- Correct anything that is wrong or out of date.
- Delete information once there is no longer a reason for us to keep it.
- Stop using your contact details for anything beyond running your lessons.
Write to the office and we will respond within a month. There is no charge for a reasonable request. If you are ever unhappy with how we have handled your information, tell us first so we can put it right, and you also have the right to raise it with the relevant data protection authority.
What this site does and does not do
The website you are reading is about as simple as a website gets, and that is on purpose.
No cookies, no tracking
This website does not set cookies, does not track visitors, and does not load anything from other sites — no fonts, images, analytics or scripts from anywhere else. Nothing you do here is measured, counted or passed on. There is nothing to opt out of because there is nothing running.
The small amount of JavaScript on the site runs entirely in your browser and only opens and closes the navigation menu.
The enquiry form
The enquiry form on the contact page does not send anything on its own and stores nothing. If you would rather email us directly, the address is on every page. Please never send bank details, card numbers or passwords through the form or by email — we will never ask for them that way.
Server logs kept by our hosting provider may record standard technical information such as an IP address for security and reliability. We do not use those logs to identify or track individuals.

Straightforward, and kept that way
We would rather hold too little information than too much. If you think we are holding something we do not need, tell us and we will look at it.
